Traqlete, developed by Ansh Design Solutions ("we", "our", "us"), operates an organizational player and coach management platform. This ecosystem includes a web-based administration panel and a mobile application designed for secure facility access and attendance verification. We are committed to protecting the privacy and security of personal data belonging to players, coaches, staff, and authorized system users.

a. Personal Information

• Full Name
• Date of Birth (DOB), Age, and Gender
• Contact Number and Email Address
• Emergency Contact Details (if applicable)

b. Organizational & Role-Based Information

• Player/Coach Unique ID
• Assigned Coach, Training Batch, and Age Group
• Fee validity and enrollment details

c. Attendance & Verification Data

• Coach Foreground Location Data: To verify attendance, the application requests access to high-accuracy device location coordinates. This collection happens strictly in the foreground at the specific moment the Coach opens the application within the facility zone. No background location tracking or continuous location monitoring is performed.
• Player QR Scan Data: The application utilizes the device camera for Security personnel roles. Security staff physically scan the secure QR code printed on a player's physical ID card to verify credentials and securely log attendance timestamps to our servers. Players do not have their locations tracked by the app.
• Check-in and check-out timestamps.
• Device identifier (for security validation).

d. System Logs

• Activity logs for operational data creation, updates, and deletions.
• Attendance modifications, overrides, and security access logs.

• Manage player and coach organizational records.
• Authenticate user identities based on designated roles (Security, Coach, Admin).
• Verify Coach proximity to authorized training facility perimeters during active application use.
• Process secure player check-ins via physical ID card QR code scanning by authorized staff.
• Monitor academy fee validity, registration windows, and enrollment standing.
• Maintain comprehensive audit trails to prevent facility misuse and ensure system security.

Each player is provisioned a unique, secure QR code printed directly onto their physical academy ID card:

• Security Scanning Only: The QR code does not broadcast data and contains no exposed personal details. It serves strictly as a secure token read by the application's camera function exclusively under the Security staff role to transmit an attendance request to our servers.
• Camera Access: Camera permission is requested solely to enable the hardware scanner to read these physical ID cards.

Ansh Design Solutions does not sell, rent, or trade personal data to third-party entities. Information is shared strictly under the following operational boundaries:

• With authorized facility personnel (Admins, Managers, and designated Gate Operators).
• With trusted technical service providers operating under strict legal confidentiality agreements.
• When explicitly mandated by applicable laws, legal processes, or regulatory authorities.

• Strict Role-Based Access Control (RBAC) ensuring users only see data required for their job function.
• Secure cryptographic login authentication.
• Fully encrypted data transmission in transit using HTTPS protocols.
• Immutable audit trails tracking system interactions and attendance edits.

We retain data only as long as necessary for operational, legal, and reporting purposes. Data may be archived or deleted as per internal policies.

Users retain full rights regarding their managed data, subject to organizational retention requirements:

• Access their compiled personal information.
• Request immediate correction of inaccurate profile data.
• Request account or data deletion (subject to administrative policy and legal obligations).

For minors participating within managed athletic programs, information is collected strictly with the verified organizational consent of a parent or legal guardian. This data is handled exclusively for secure academy operations, safety rosters, and facility access authorization within the Traqlete system.

Ansh Design Solutions reserves the right to update this Privacy Policy to mirror modifications in app architecture or compliance regulations. Any structural revisions will be communicated explicitly via in-app alerts or verified administrative notification channels.
